Microsoft InfoPath Forms and Workflow Development.

Bridgewater & Taunton College

Bridgwater College wanted to improve the procedure for approving off-site student visits by developing an XML form and workflow that would streamline the business processes, enforce logic and improve communication between end users and stakeholders. The college also required technical knowledge transfer to allow their internal IT team to provide similar forms and workflows.

Bridgwater College of Further Education is located in the heart of Somerset, with campuses in Bridgwater and Cannington. It also has outreach centres in Bridgwater (Angel Place), Lufton near Yeovil and Paignton Zoo. The organisation has an excellent reputation both regionally and nationally as a highly successful provider of education and training. Their examination and course results consistently place the College amongst the best of all education and training providers in the South West.

The IT team at the College wanted to improve the procedure for approving off-site student visits by developing an XML form and workflow that would streamline the business processes, enforce logic and improve communication between end users and stakeholders.

Following consultation with the software development team from Nexus, it was decided to create a new planning form utilising Microsoft InfoPath that would be deployed within the Colleges Microsoft SharePoint environment.

Nexus IT consultants worked closely with the College to produce a software specification and project management plan for the InfoPath form development prior to deployment. The form structure and work flow process included:

  • Calculations
  • Branding
  • Rules
  • Form control mechanisms:
  • Date pickers
  • Drop down lists
  • People pickers
  • External information and connectors (SharePoint lists, Active Directory)

The new planning form was successfully deployed as a “content type†within the College’s SharePoint environment, a workflow was subsequently applied to the form to route the document through three different approval processes:

  • General approval (Section Leader, Health and Safety Manager, Operations Manager)
  • Finance approval (If travel insurance is required)
  • Principal approval (If considered high risk)

The InfoPath and SharePoint workflow contained "if/then" logic and a customised approval processes to supply updates on the status of each workflow to the relevant user.

Towards the conclusion of this project, software developers from Nexus provided knowledge transfer to the Bridgwater College IT Team, so they could support the new InfoPath form and workflow in the future.

The successful delivery of this software development project by Nexus has seen a reduction in human resources and time needed by the College to manage off-site visits and the associated business processes.
